About BoodleBox

BoodleBox is a VC-backed GenAI platform built for higher education. With 100,000+ users across 1,200+ colleges and universities, we partner with faculty, staff, and students to make responsible AI adoption practical, impactful, and lasting. Our platform brings together leading AI tools — including ChatGPT, Claude, Gemini, and Perplexity — under one roof, purpose-built for the unique demands of academic environments. We're guided by three core values: service, education, and collaboration.

‍

The Role

You're the person who sees a process that's slower than it should be and can't leave it alone. You time it. You find where it sticks. You fix it, then you check that the number moved. Here, that process is how agreements get from first draft to signature. You don't have to love contracts. You have to love making things go faster and land better.

BoodleBox signs agreements with institutions, organizations, and vendors every week. Your job is to get each one to signature cleanly and fast, so deals stop waiting on the CEO and CTO. You'll review, track, and route them. Then you'll build the workflows that take on more of that work, with AI doing the first pass, so your time goes to the hard calls and the people across the table.

You sit between the people who need a deal signed and the people who negotiate it, and you work with sales, finance, product, and leadership every day. Your first 90 days are a ramp: you build the registry, learn the playbook, and prepare reviews. After that, you approve agreements within the playbook and own the system. This is an individual contributor role with real ownership.

This role is fully remote, with a company hub in Colorado Springs, CO.

‍

What You'll Own

  • Deals that reach signature. Order forms, redlines, and procurement paperwork keep moving instead of sitting in someone's inbox.
  • The contract registry. Every vendor and customer agreement, with terms, renewal dates, liability caps, and data terms you can look up in seconds, including through MCP.
  • The workflows that do the repetitive work. You build them, measure them, and fix what breaks, starting with the biggest time sinks.
  • Review and approval. After your ramp, you approve agreements within our playbook and escalate the rest with the issues already flagged.
  • The playbook. Standard positions, fallbacks, pricing and discount guidelines, and escalation rules. Reps own pricing on their deals. You hold each deal to the standard and route exceptions to the right person.
  • The link between signers and negotiators. Customers, vendors, outside counsel, and our own teams. You translate what the business needs into what the contract says.
  • What's actually happening. How long deals take, which terms get fought over, where things stall. You track it and use it to make the next deal faster.
  • How this scales. You spot where the process breaks at twice the volume, fix it first, and write it down so someone else could run it.

‍

Who You Are

  • You drive results and speed. You measure how long things take, and it bothers you when the number doesn't drop. You own the outcome, not just the task.
  • You build things. You've made a workflow that does real work on documents, and you can show it to us. Not a demo. Something people used.
  • You use AI like a coworker. Your first question is how a model could do the first pass, and you know exactly where it gets things wrong.
  • You know when to hand it off. You can tell what you can close from what needs the CEO, and you flag it before anyone asks.
  • You fix the cause. The same issue shows up twice and you change the process so there's no third time. Kaizen, if you like the word.
  • Salespeople still like you after you say no. A rep wants a discount outside the standard. You say no, explain why, and they come back to you on the next deal.
  • You make remote work. You write things down. You don't need a meeting to move something forward.
  • You learn legal language fast. If you've worked with MSAs, DPAs, or order forms, great. If not, you pick it up quickly, and fine print doesn't scare you.

We're Not Checking Boxes. We're Looking for the Real Thing.

Didn't come up through a traditional path? Good. Tell us about it.

No big-name SaaS company on your resume? We've hired people who outperformed everyone who did.

Career gap? Weird pivot? Started somewhere completely left field? Bring it. The people who got here the strange way usually have the best instincts.

What we actually want to see: someone who spots where a process is stuck and builds the way out without thinking about it. If that's you, the path you took to get here is just a good story.

‍

Who Thrives Here

You like building. When something is slow, you'd rather make a better way than live with it. You're curious about what AI can do now, and you test it on real work before you decide what you think. You're comfortable with a role that's still taking shape, because you're the one shaping it.

You care about the mission. Colleges and universities are working out how to use AI responsibly, and the agreements that get signed along the way matter. You want your work to make that easier for the people doing it.

‍

What We Offer

  • Competitive base salary of $105,000–$120,000, plus a company performance bonus opportunity and equity.
  • Unlimited PTO.
  • Medical, dental, and vision coverage. BoodleBox covers 75% of premiums.
  • 401(k).
  • Fully remote work environment.
  • Real career growth. Inside a high-growth, mission-driven company.

The team gets together for company events, such as offsites, once or twice a year. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

‍

How to Apply

Don't just send a resume. Send an email to justin.ullestad@boodle.ai with the subject line “LET'S MAKE A DEAL.”

Include:

  • Your LinkedIn profile.
  • Tell us why you're the wrong hire. Career gap, weird pivot, missing credential, whatever it is. Then tell us why we should do it anyway. The best person for this role probably doesn't look like it yet.
  • A link, screenshot, or description of something you've built on the side. A bot, a workflow, a system, a side project, a thing you made at 2am because you couldn't stop. Bonus points if you built it with AI.
