About BoodleBox

BoodleBox is a VC-backed GenAI platform built for higher education. With 100,000+ users across 1,200+ colleges and universities, we partner with faculty, staff, and students to make responsible AI adoption practical, impactful, and lasting. Our platform brings together leading AI tools, including ChatGPT, Claude, Gemini, and Perplexity, under one roof, purpose-built for the unique demands of academic environments. We're guided by three core values: service, education, and collaboration.

‍

The Role

You are the first person a new partner really works with. The contract is signed, the excitement is high, and then comes the part nobody posts about on LinkedIn: the SSO configuration, the roster sync, the dean who needs a different training time, the timeline that has to survive a semester start. That's your part. You make it feel easy, and it is not easy.

You think in checklists and timelines, but you're not a ticket-closer. You know that an onboarding is really a set of humans deciding whether this is going to be worth it, and that the difference between a school that logs in and a school that adopts is usually something that happened in the first thirty days.

You're technical enough to be dangerous. You're comfortable in an admin panel. SSO, LMS integrations, rostering, provisioning — you either know this or you're the kind of person who will know it in three weeks because you refuse to hand a problem back to someone else.

You'll also carry your own book of business: our smaller partners, the ones who don't need a weekly call but absolutely deserve to be seen. For them, you're not just the person who set things up. You're their person. And because you can't be on every call with every one of them, you'll build the digital motion that scales you — the lifecycle communications, the in-platform nudges, the onboarding sequences, the resources that do the work when you're not in the room.

You use AI every day in your own work. Not because it was mandated. Because you can't believe you ever worked without it. You're the person on the team building bots, skills, workflows, and sites on the side because you got curious about whether you could.

This role is fully remote, with a company hub in Colorado Springs, CO.

‍

What You'll Own

  • Every onboarding. When a school signs, you take the handoff from sales and run it: kickoff, implementation plan, timelines, milestones, exit criteria, handoff to CS. No school starts twice because someone didn't read the notes.
  • Technical setup. SSO, LMS integrations, rostering, provisioning, workspace configuration. You get partners live, and you get them live on time.
  • The implementation plan. Not a template you send. A real plan for what this institution is trying to accomplish, who's responsible, and what has to be true by week two, week six, and end of term.
  • A book of business. Our partners under 200 seats — the ones without an implementation package or a stated plan to expand. They're yours from kickoff onward: engagement, health, renewal, and the excitement when they want to expand after all.
  • The digital motion. Onboarding sequences, updates, and touchpoints with accounts to keep them informed, engaged and growing. The system that keeps a hundred accounts warm without a hundred calls.
  • The process itself. What good implementation actually looks like here is always evolving. You'll iterate on the playbooks, the checklists, the exit criteria, the templates that mean the next onboarding is better than the last one.
  • The details. The recap emails, the follow-ups, the calendar that doesn't slip during the heaviest onboarding season of the year.

‍

Who You Are

  • A project manager who happens to love people. You hold a timeline without becoming the person nagging about the timeline. Dates move; you move them on purpose, not by accident.
  • Technically fearless. SSO, LTI, rostering, technical docs, admin consoles. You'd rather figure it out than escalate it, and you know the difference between the two situations.
  • Highly organized. Not because someone told you to be. Because you can't stand the alternative. Twelve onboardings at once and nothing falls through.
  • A systems builder. You see the same question asked four times and you build the thing that answers it the fifth time without you. Workflows, templates, sequences, docs.
  • Warm at scale. You can make a 40-seat partner feel genuinely known through a well-timed email and a resource that actually fits them. You understand that low-touch is not the same as low-care.
  • AI proficient. Not “I've used ChatGPT once.” You have built. You have workflows you're proud of. You evangelize because you actually believe in it.
  • Calm when a semester is on the line. August happens. You get more precise, not more frantic.
  • You don't need a legacy title. You need the right mission.

‍

We're Not Checking Boxes. We're Looking for the Real Thing.

Never had “implementation” in a job title? Fine. Tell us about the thing you got across the finish line anyway.

No enterprise SaaS logo on your resume? We've hired people who outperformed everyone who did.

Came from IT, from student services, from the registrar's office, from a help desk, from teaching, from event production, from somewhere completely left field? Bring it. People who've had to make a complicated thing happen on a real deadline, with real humans who didn't ask for it, tend to be extraordinary at this.

What we actually want to see: someone who can take a signed contract and a nervous administrator and turn that into a working, adopted, happy institution — on schedule, without drama. If that's you, the path you took to get here is just a good story.

‍

Who Thrives Here

BoodleBox moves fast. We're a tight-knit team of builders who care deeply about the institutions we serve and each other. The people who do best here are curious by default, proactive in their partnerships, and energized by the idea that their work is directly shaping how the next generation of learners engages with AI.

This role in particular is for someone who wants to build the function, not inherit it. If you're a self-starter who brings order to new territory, communicates with clarity, and gets excited about solving novel problems in a rapidly evolving space, we'd love to talk.

‍

What We Offer

  • Competitive base salary plus bonus.
  • Unlimited PTO.
  • Medical, dental, and vision coverage. BoodleBox covers 75% of premiums.
  • 401(k).
  • Fully remote work environment.
  • Real career growth. Inside a high-growth, mission-driven company.

‍

How to Apply

Don't just send a resume. Send an email to careers@boodle.ai with a subject line that tells us something about you.

Include:

  • Your LinkedIn profile.
  • Tell us about a time you were handed something complicated with a hard deadline and made it land. What almost went wrong, and what you did about it.
  • A link, screenshot, or description of something you've built to solve a real need. A bot, a workflow, a system, a side project. Bonus points if you built it with AI.

About BoodleBox

BoodleBox is an AI-powered platform built for higher education and work teams that want to actually collaborate with AI, not just talk about it. We're about 20 people, moving fast, and reimagining the way product development works from the ground up. We don't have legacy processes protecting legacy roles. We have a small team trying to build something genuinely new.

‍

Equal Opportunity

We hire humans first. BoodleBox is built on the belief that AI works best when the people behind it reflect the full range of human experience. This means different backgrounds, perspectives, lived experiences, and yes, unconventional career paths. We're an equal opportunity employer, full stop. That means no discrimination based on race, religion, national origin, gender identity or expression, sexual orientation, age, marital status, veteran status, or disability status. Need an accommodation during the application or interview process? Reach out — we'll make it work. All info remains confidential per EEO guidelines.
